Every biobank eventually becomes an archive.

The shift usually doesn’t happen on a calendar. It happens quietly, when the same samples start coming back under retired P*s and closed protocols.

They were stored for today’s research. Then, somewhere between year five and year fifteen, they became the raw material for questions no one had thought of yet.

That changes what infrastructure has to do.

A system built for active collection assumes the researcher, the study, and the context are still available.
An archive assumes none of them are.

Every sample question has to be answerable from the record itself.
Not memory.
Not a hallway filing cabinet.
Not the person who built the study and left in 2018.

The biobanks that make this transition well tend to make three early decisions: they treat the audit trail as the primary record, they preserve field-level context, and they choose infrastructure built to outlast current staff.

At what point does a biobank stop being a collection and become an archive?

The visual freezer solves a problem that seems small — until a new coordinator has to work without it.

An inventory list can tell you a sample is in Freezer 3, Rack B, Box 7, Position 42.

Technically complete.

But that’s not how people think about a freezer.

Visual Freezers shows the layout the way your team actually uses it: racks in position, boxes in racks, occupied spots at a glance, and attention flags where they matter.

That’s why onboarding gets easier fast.

A coordinator using an inventory list has to build spatial intuition from scratch. A coordinator using Visual Freezer sees the structure immediately.

Software shouldn’t force people into a new way of thinking.

It should mirror how experienced lab teams already work.

That’s where the Visual Freezer makes the biggest difference. See the Visual Freezer in the product tour.

For many laboratories, it's planning season.

Budgets, timelines, implementation plans.

Whether the focus is equipment, staffing, software, or workflow, the next few months often shape the year ahead.

Before the planning cycle gets busy:

What’s the one operational improvement your team wants to make before year-end?

𝗪𝗲'𝗿𝗲 𝗛𝗶𝗿𝗶𝗻𝗴!

We're looking for a Technical Support Engineer to join our team at Freezerworks.

You’ll work directly with lab and biobank IT teams on deployments, troubleshooting, and support for our sample management platform, including a major new release.

It’s a hands-on role for someone who understands infrastructure, likes solving customer problems, and wants to work closely with the product. The samples our customers manage support research that changes lives, so getting the details right matters.

Every experienced lab professional has heard this question:

“𝗪𝗵𝗲𝗿𝗲 𝗶𝘀 𝗶𝘁 𝗿𝗲𝗮𝗹𝗹𝘆?”

Because the system says one thing, and the technician knows the real answer lives in shared know-how.

That’s not an interface problem.

It’s a documentation problem.

The fastest onboarding happens when the system becomes the source of truth.

No guesswork.
No memory test.
No extra steps.

Just the answer where people expect it.

What’s one piece of shared know-how your team has turned into a documented process?

Every sample management evaluation eventually reaches the same question.

❓ Is the system creating the problem or has the team simply learned to work around it?

There's usually one moment when the answer becomes obvious.

What was that moment for 𝘺𝘰𝘶?

If you couldn’t join yesterday’s Freezerworks 2 demonstration, here are the two questions almost every evaluation eventually reaches.

1️⃣ 𝗗𝗼𝗲𝘀 𝗯𝗿𝗼𝘄𝘀𝗲𝗿-𝗯𝗮𝘀𝗲𝗱 𝗺𝗲𝗮𝗻 𝗰𝗹𝗼𝘂𝗱?

No.

Freezerworks 2 runs on your own infrastructure behind your firewall. Your team connects to your Freezerworks environment, not a public cloud service.

2️⃣ 𝗛𝗼𝘄 𝗹𝗼𝗻𝗴 𝗱𝗼𝗲𝘀 𝗶𝗺𝗽𝗹𝗲𝗺𝗲𝗻𝘁𝗮𝘁𝗶𝗼𝗻 𝘂𝘀𝘂𝗮𝗹𝗹𝘆 𝘁𝗮𝗸𝗲?

Implementation timelines vary by edition, but Freezerworks is designed to help labs migrate from spreadsheets or legacy systems without having to rebuild everything from scratch.

When a lab adds a second research group, it's not just doing more of the same work. It is managing multiple workflows, priorities, and data standards on infrastructure originally designed for one.

The same is true for biobanks.

A collection that grows from 5,000 to 50,000 samples requires more than just additional freezer space. It takes on a very different operational profile.

The changes are rarely dramatic at first.

Field structures that worked at a smaller scale begin creating inconsistencies. Informal requests handled through email become chain-of-custody questions during an audit. The person who always knew where every sample was is now managing people instead of retrieving aliquots.

Growth does not create these problems overnight. It reveals them over time.

The organizations that navigate growth most successfully recognize this shift early. They treat growth as an operational signal to strengthen processes, governance, and infrastructure—not simply add more capacity.

The question is not:

"𝗛𝗼𝘄 𝗱𝗼 𝘄𝗲 𝗵𝗮𝗻𝗱𝗹𝗲 𝗺𝗼𝗿𝗲 𝘀𝗮𝗺𝗽𝗹𝗲𝘀?"

It is:

"𝗪𝗵𝗮𝘁 𝗻𝗲𝗲𝗱𝘀 𝘁𝗼 𝗰𝗵𝗮𝗻𝗴𝗲 𝗯𝗲𝗳𝗼𝗿𝗲 𝗺𝗼𝗿𝗲 𝘀𝗮𝗺𝗽𝗹𝗲𝘀 𝗰𝗵𝗮𝗻𝗴𝗲 𝘂𝘀?"

Tomorrow, we’re showing what changes when a lab moves to 𝗙𝗿𝗲𝗲𝘇𝗲𝗿𝘄𝗼𝗿𝗸𝘀 𝟮.

We’ll show Freezerworks 2 in action and how it supports the real work labs do every day.

More importantly, we’ll show how those workflows feel in practice, not just what the feature list says they can do.

If your team is evaluating sample management software this year, this session is for you.

One question comes up in almost every software evaluation:

𝘞𝘩𝘢𝘵 𝘢𝘤𝘵𝘶𝘢𝘭𝘭𝘺 𝘤𝘩𝘢𝘯𝘨𝘦𝘴 𝘰𝘯 𝘔𝘰𝘯𝘥𝘢𝘺 𝘮𝘰𝘳𝘯𝘪𝘯𝘨 𝘢𝘧𝘵𝘦𝘳 𝘪𝘮𝘱𝘭𝘦𝘮𝘦𝘯𝘵𝘢𝘵𝘪𝘰𝘯?

• Where does friction disappear?
• Which tasks become easier?
• Which processes stay exactly the same?

Those are the questions we'll answer in our LIVE Freezerworks 2 demo.

Rather than walking through a feature checklist, we'll show how the software supports everyday lab workflows.
